TERMS & CONDITIONS

Acceptance of our services will be taken to represent agreement to these Terms and Conditions. These Terms and Conditions come into effect upon first attendance.

By beginning tuition and/or an assessment, you consent to be assessed and tutored at INICIO (INICIO Tutors Ltd).

Each student will be tutored for (and therefore pay for) a minimum of one session per week, every week during our engagement. Sessions are limited to pre-arranged times only.

The charge per session is £45. Session fees are reviewed on an annual basis and come into effect on March 30th of each calendar year. 

To discontinue sessions, we require 4 weeks’ notice. You may attend your normal sessions in the 4 week notice period. No refund will be given if you do not attend lessons in the notice period. 

We reserve the right to cancel and stop your child’s tuition with immediate effect should a payment remain outstanding for longer than fourteen days.

A “week” runs from Monday to Sunday. If you wish to reschedule a session, 24 hours’ notice or more must be provided for the session to be used as a catch up session, which must be taken whilst the student is still an active student at INICIO (paying for weekly sessions) and outside of their usual weekly session. If we have less than 24 hours’ notice, the session will be paid for but lost, as all sessions are pre-arranged and it is unlikely that a slot can be filled without sufficient notice. Non-attendance without notice will also be charged in full. We offer no refunds for missed lessons and we are not responsible for any missed lessons.

If, rather than an ongoing weekly session, you have arranged a one-off block of sessions (with a start and end date arranged in advance), the minimum number of sessions is 4 (plus the assessment). The sessions between the start and end date must equate to one per week as a minimum, so, for example, a block of 6 sessions should be completed within 6 weeks of the start date. We can rearrange a session from the block of sessions (with more than 24 hours' notice) if need be, but this session needs to be taken within the original timeframe (we cannot extend the end date). If you decide to continue with sessions after the initial block, these will be need to be booked in as regular, ongoing weekly sessions (and not as another block).

When you give notice to float a session (if it is more than 24 hours in advance), we will send 3 options to reschedule this based on your availability form. If we have limited availability, we will email at a later date until 3 slots have been offered.

Any sessions floated after September 1st 2020, need to be used within 3 calendar months. After this time they will expire and be both unusable and non-refundable.

We are open all year round (including the summer, half term and Easter) but close from Christmas Eve to New Year's Day. To compensate for the sessions that would have taken place, we offer students to take the session in advance or just after Christmas (outside of their usual session time).

Payments are taken 4 weekly in advance by Direct Debit. Before a Direct Debit begins, we accept interim payments by cash or BACS transfer. These are the only methods of payments. 

Students should be aware that they are attending INICIO to study and are expected to behave responsibly at all times. Activity which could cause disturbance to other students or staff will result in instant dismissal. In such case no refund of fees will be made.

Parents or guardians will accept full liability for any loss or damage caused by the student to INICIO’s premises or property.

While INICIO will endeavour to ensure that the student makes satisfactory progress, this cannot be guaranteed, and we cannot be held accountable for the academic success or otherwise of the student. To the maximum extent permitted by law, INICIO accepts no liability for any direct or indirect loss or damage, foreseeable or otherwise, including any indirect, consequential, special or exemplary damages arising from the use of our services or any errors or omissions in the content of INICIO's learning materials.

In the interests of the student’s well-being whilst at INICIO, the centre must be informed of any medical or other conditions affecting the student.

Requests for reports, feedback or any other form of correspondence other than routine feedback to parents are chargeable. 

If you are not able to come to INICIO's door to collect your child after their session please note that, just as with the school gates, it is your responsibility to let us know if they should not leave without you or if they are not to be collected by anyone else. We will allow all students to leave the premises if they are a minimum of 8 years old and you OR they advise us that they are walking home, meeting you somewhere else or being collected by someone else. Anyone younger than this will need to be collected by you or a responsible adult in your place.

INICIO Tutors Ltd will not accept any responsibility for personal injury or loss of or damage to personal property of any kind while using the facilities in the studio. 

ALL CLIENTS: I hereby undertake to pay INICIO Tutors Ltd for services relating to tuition.

Data Protection Act: I have been notified of the Data Protection Act as it relates to my data processed by INICIO Tutors Ltd (see overleaf). 




DATA PROTECTION NOTICE 

Under the Data Protection (1998) Act, we are required to advise our students/customers on our Data Protection Policy. The handling and processing of personal data by INICIO Tutors Ltd complies with the General Data Protection Regulation (Regulation (EU) 2016/679).

As part of the Student Record, this studio is required to retain information for the purpose of tuition, recording subsequent sessions.

Upon completion of the Student Details information request that we forward, all paper files and information therein may be electronically scanned and stored on computer file for as long as the student remains at INICIO, and thereafter for a period of 7 years. Alternatively paper records will be retained for the same period. 

All information provided will be treated as confidential, and will not be given to any other person(s)/organisation(s) without written consent of the student or parent concerned. 

Information will be held both manually and electronically in files accessible only by the staff members who are directly involved in the data entry and processing of student records. 

By attending sessions at INICIO, you do hereby give consent to INICIO Tutors Ltd to maintain records for the purposes outlined within the policy.
